Summary
Provide administrative support to the Raleigh Branch by performing essential duties and responsibilities listed below.
Description
Location: Raleigh, NC
Responsibilities:
Reception:- Promote Systel with a positive attitude, professional conduct and professional appearance at all times.
- Answer, screen and forward in-coming calls, greet visitors, distribute office mail.
- Prep and send outgoing mail - UPS several times a week, and USPS as needed.
- Assist walk in customers with toner pickups & returns, payment drop offs, questions, etc.
- Maintain inventory of office supplies, breakroom and cleaning supplies, product literature, and marketing materials.
- Ensure lobby, demo room and conference rooms are kept presentable.
- Help organize branch events, meetings, technology expos, lunch & learns, etc.
- Organize pre-screening interviews for potential employees.
- Cross-trained across branch administrative positions for backup purposes.
- Assist Sales Department with CRM data entry, account research, rep reassignment and other administrative Train Sales Rep’s as new client request procedures are modified.
- Maintain Branch level Control Log, which is where new order information is entered and shared with management and corporate offices.
- Scan customer orders and service orders into the document management software and maintain accuracy with data.
- Obtain names and telephone numbers of potential customers from sources such as directories, trade magazines, and purchased lists and enter data into CRM.
- Provide support for reps calling from the field to obtain account info, pricing, etc.
- Assist with training new Sales employees on email, phones and voicemail, Intranet usage (forms, directories, HR and benefits, company news), new Client entry requests, and Customer Number requests.
- Train new Admins on Compass, Global Search, Branch Log, EAutomate, and Martin Marietta orders.
- Track unassigned weekly Customers on Hold
- Assist administratively with the close of the month (scan branch splits, print and distribute SCR's, document serial numbers, help organize paperwork, etc.).
- Assist Branch Sales Manager with monthly sales calculations and summaries (Created Excel tool to expedite this.)
- Track unassigned monthly Expiring Leases.
- Data capture, reorganization, and calculations through spreadsheets and bar charts as requested for Sales and Service Departments.
- Assist administrative team with special projects, large installations and inventory research.
- Special projects as assigned by Supervisor.
Major Account Sales Support:
- Handle all steps of all regular Martin Marietta Materials printer orders (approximately 10 new ones per week) including:
- Create Sales Quote (verifying addresses and requesting new ERP numbers as needed).
- Create Sales Order.
- Create ship-back labels for all EOL legacy devices.
- Track outstanding orders for follow up.
- Calculate lease rates and monthly payments based on make/model and state. (Created Excel tool to expedite this.)
- Calculate and create SCRs for commissions
- Track delivery through UPS or Federal Express.
- Create the Lease Agreement.
- Track to see when G/L Confirmations are received.
- Process the closing of the order after delivery.
- Calculate Branch Split Commission distributi (Created Excel tool to expedite this.)
- Modifications, data entry, and formula entries for Major Accounts Excel tracking spreadsheets as requested by Senior Account Manage
- Maintain separate Major Accounts Sales Log.
Requirements:
Must have the ability to communicate orally with vendors, customers and employees. Must have the basic clerical skills to include Microsoft Word, Excel, data entry, etc. Must have the ability to operate office machinery (copier, fax, computer, multi-line phones, etc.) Must have a minimum high school diploma or equivalent plus two years’ work history in a position(s) requiring similar responsibilities.
